SUMMARY

Responsible for supporting the activities of the Accounting Manager. S/he accurately maintains financial information, internal controls, and analyses of accounts and assists in monthly and year-end closings.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Core duties and responsibilities include the following. Other duties may be assigned.

  • Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices.
  • Reconciles processed work by verifying entries and comparing system reports to balances.
  • Charges expenses to accounts and cost centers by analyzing invoice/expense reports; recording entries.
  • Pays vendors by monitoring discount opportunities, verifying federal id numbers, scheduling and preparing checks, and resolving purchase order, contract, invoice, or payment  discrepancies and documentation.
  • Ensures credit is received for outstanding memos.
  • Issues stop-payments or purchase order amendments.
  • Pays employees by receiving and verifying expense reports and requests for advances; preparing checks.
  • Maintains accounting ledgers by verifying and posting account transactions.
  • Verifies vendor accounts by reconciling monthly statements and related transactions.
  • Maintains historical records by microfilming and filing documents.
  • Disburses petty cash by recording entry and verifying documentation.
  • Reports sales taxes by calculating requirements on paid invoices.
  • Protects organization’s value by keeping information confidential.
  • Updates job knowledge by participating in educational opportunities.
  • Accomplishes accounting and organization mission by completing related results as needed.

  • Bachelor's Degree from a regionally accredited four-year college or university and 2 years' relevant experience; or equivalent combination of education and experience, required.
  • Demonstrated knowledge of Microsoft Office Suite, NetSuite, Excel, and Word.

LANGUAGE SKILLS:
Ability to read, write, analyze, and interpret in English general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL SKILLS:
Ability to calculate figures and amounts such as decimals, units, interest, commissions, proportions, percentages, area, circumference, and volume.

REASONING ABILITY:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

COMPUTER SKILLS:
To perform this job successfully, and individual should have knowledge of accounting software like Excel; Internet software; ERP systems including the functions of Order Processing, Excel Spreadsheet software and Word Processing software and NetSuite.
